Specifically guest lectures

What do I need to consider when planning a guest lecture in my StuROPx project?

Step 1: Determine the amount of the fee

  • Some of you may want to invite a guest for a lecture or workshop.
  • When determining the fee, please follow the guideline of 85 € per hour. However, it is possible to differ from this guideline. Please note: Hospitality or travel expenses of the guest cannot be covered.
  • Please note: You can award a maximum fee of 500 €. For fees above this amount, the clearing office of the Humboldt-Universität has to be involved, which makes the process complicated and long. We would like to avoid this.

Step 2: Contract for a guest lecture

  • If you are planning a guest lecture, you must first sign a contract for a guest lecture with sufficient advance preparation (at least 2 weeks before the lecture itself).
  • For this contract, please use the form Contract Guest Lecture provided by Humboldt-Universität. In order not to make any mistakes, please have a look at the exemplary filled out contract.
  • Once you have completed the form, have your guest sign the completed contract.
  • Please name the document as follows:

    Groups/ Tuts_YOUR LAST NAME YOUR FIRST NAME_Contract Guest Lecture_Last Name Guest.
    e.g. Groups/ Tuts_MUSTERMAN MICHAEL_Contract Guest Lecture_Musterfrau

  • Please then submit the contract to the StuROPx team via upload, following the instructions for uploads in StuROPx.
  • The StuROPx team will obtain the remaining signatures. As soon as all signatures are available, you will receive the completed contract back from us via email. Please forward the signed contract to your guest.
  • Please keep the signed contract in a safe place, because you will need it for the accounting of the guest lecture.

Step 3: Invoice guest lecture

  • When the guest lecture is completed, your guest must prepare an invoice for it.
  • For this invoice, please use the form Invoice for Guest Lecture provided by Humboldt-Universität. In order not to make any mistakes, please have a look at the exemplary filled out invoice.
  • Please enter (1) the fee, (2) the date of the contract and (3) the necessary information under the heading "Subject", i.e. your own name as head of the X-Student Research Group or the X-Tutorial and the title of the guest lecture.
  • Send the pre-filled invoice to your guest and ask him/her for all further information and his/her signature.

Step 4: Submission of the invoice for the guest lecture

  • Once you have received the completed and signed invoice back from your guest, the contract for the guest lecture (see step 2) must also be attached to this invoice in digital form: Please merge the two documents as one pdf file (order: invoice followed by contract).
  • Please name the document as follows:

    Groups/ Tuts_YOUR LAST NAME YOUR FIRST NAME_Invoice Guest Lecture_Last Name Guest.
    z. e.g. Groups/ Tuts_MUSTERMAN MICHAEL_Invoice Guest Lecture_Musterfrau

  • Please submit the completed pdf document via upload to the StuROPx team, following the instructions for uploads in StuROPx.

Exceptional case of guest lectures by HU employees

  • Please note: If the guest lecturer is permanently employed at the Humbodt-Universität zu Berlin, the contract must be submitted to the Clearinstelle for review. Here it will be checked to what extent the lecture duties are part of the regular official duties. If there is an overlap of duties, a guest lecture contract cannot be awarded.
  • The review at the Clearingstelle takes several weeks, which you would need to take into account in your planning.
  • Please let the project head Dr. Julia Rueß (julia.ruess@berlin-university-alliance.de) know in time if you are planning a guest lecture by HU employees, so that we can arrange everything else.
